2. What information do we collect?


We will collect and use some of your personal data (this means any information that uniquely identifies you as an individual such as name, address or email address) when communicating with you by email, phone or on Facebook messenger, or when processing a booking request. We will only gather the information that we need, which may include:


  • Name 

  • Address 

  • Email address 

  • Mobile number

  • Payment card details

  • Age (as we cannot accept bookings from anyone under 18 years old)


To comply with NHS Track and Trace regulations at the time of your booking we may also be required to record the following from all members of your party on arrival at the site: 


  • Name

  • Mobile number (or email address if a mobile number is unavailable)

  • Check-in and checkout dates

  • Which pod you are hiring 



3. How do we collect your data? 


You directly provide us with most of the data we collect. We gather this information when:


  • You make an email, telephone or Facebook enquiry

  • You make a booking

  • You or your guests provide contact details for Track and Trace (if applicable)

  • You visit our website at *

4. How will we use your data? 


The information you provide will be used for the following:


  • To create your booking

  • To communicate with you about your booking (including sending you relevant documentation and information about your stay)

  • To provide you with information you request about our services 

  • To enable us to send you the electronic contract to sign via an online third party electronic signature programme

  • To comply with applicable NHS Track and Trace requirements by recording names and phone number (or email addresses) of you and your guests on arrival at the site 

  • For insurance purposes we keep a copy of your signed contract for up to three years from your checkout date

  • To process any refunds 


We may also need to provide your personal data if we’re asked to by the police, or any other regulatory or government authority investigating suspected illegal activities.


We will not sell your information to third parties. 


5. How long do we store your information? 


For our insurance purposes we retain a digital copy of your signed contract on our system for a period of up to three years. This file is stored securely and password protected. At the end of the three years the file will be deleted. 


Details recorded for NHS Track and Trace are kept for a period of 21 days after your checkout date. We will only share this information if requested to do so by the public health authorities in order to identify positive cases of COVID-19 and prevent further spread. If contact details are not requested by the public health authorities in that time your contact tracing details will be deleted / destroyed. 


6. Our Legal Bases for Collecting Your Data 


Under Article 6 of UK GDPR our lawful bases for collecting and processing your data are as follows:


(b) - ‘Contract’: We require you to provide your name, email address, mobile number and home address in order to create and send you the contract between you and us for the purposes of facilitating your booking.


(c) ‘Legal Obligation’: To comply with NHS Track and Trace requirements by recording the names and phone numbers (or email addresses) of all visitors to the premises (if applicable at the time of the stay)


(f) - ‘Legitimate Interest’: In limited circumstances we use Legitimate Interests for processing personal data, while ensuring to only collect the smallest amount of data possible for these purposes. These areas include: Our Website, Data Analysis and Marketing. 




7. Website copyright notice


The content of our website is protected under copyright law. Any redistribution or reproduction of part or all of the contents of our website is prohibited. You may not, except with our express written permission, distribute or commercially exploit the content on this website. Nor may you transmit it or store it in any other website or other form of electronic retrieval system.
